Getting Started
Nurse Tasker works two ways: as a solo account for managing your own shifts, or as an organisation account shared with your team. You can start solo and convert to an organisation later without losing any of your data — nothing is thrown away in the process.
- Create your free account at app.nursetasker.com/register.
- Confirm your email address using the link we send you.
- Log in and create your first Time Planner shift — you'll be asked for a date, a shift type (AM/PM/Night, or a custom preset) and how many beds or columns you want to track.
- Start adding tasks to the hourly grid. That's it — you're live.
Solo accounts don't need an organisation at all. If you're just tracking your own shift, you can safely ignore everything below about wards, roles and multi-user administration.
Organisations & Wards
An organisation is your hospital, clinic, or care team's own private space in Nurse Tasker — every organisation's data is fully isolated from every other one, enforced at the database level, not just in the app's interface.
Converting to an organisation account
From User Settings, choose "Convert to Organisational Account" and give your organisation a name. Doing this:
- Creates your organisation and makes you its first administrator, with every permission granted.
- Generates a one-time join code you can share with staff so they can join without you creating each account by hand.
- Signs you out — you'll need to log back in once, so your account picks up its new organisation access.
Structuring locations and wards
Inside Administration, organisations are structured as Locations → Wards → Rooms → Beds. A single organisation can have any number of locations (useful for hospital networks with multiple sites), each with their own wards.
Time Planner
The Time Planner is an hourly grid, one column per bed (or a custom column, if you're not tracking real beds). Tasks are added to a specific hour and bed, and update live for everyone viewing that shift.
Grid vs. Timeline view
Switch between Grid (bed columns × hour rows, best for scanning a whole shift at a glance) and Timeline (a single chronological list, best on a phone screen) using the toggle at the top of the planner.
Recurring tasks
Any task can repeat on a fixed interval (every 1, 2, 4, 6 or 8 hours). You can choose whether a delayed task keeps its original interval or resets from whenever it was actually completed.
Handover notes
Each shift has a free-text handover note the outgoing team fills in for whoever picks up next — with a full edit history, so nothing said in handover gets silently overwritten.
Bed Board
The Bed Board gives you a live, whole-ward view: occupancy, staff assignment, and clinical tags (like falls risk or infection risk) for every bed. It's organised the same way as your organisation — by ward, then room, then bed.
- Assign staff directly to a bed with "+ Assign User…", including guest/agency staff who don't have a full account.
- Tag a bed with predefined clinical flags your organisation has configured (e.g. Falls Risk, Infection Risk).
- Open that bed's active Time Planner shift directly from its card.
- Push ward-wide announcements that every device on that ward sees, with acknowledgement tracking.
Roles & Permissions
Every organisation has its own set of Clinical Roles — for example, "Registered Nurse", "Ward Manager", or "Student" — each with its own fine-grained permissions: whether they can create shifts, manage users, access the Bed Board, manage wards, and more.
Separately, each staff member has a per-organisation membership role of either Regular User or Organisation Admin. Administrators can manage users, roles, wards and organisation-wide settings; regular users get whatever their assigned Clinical Role permits.
Mobile App & Offline Sync
The Nurse Tasker mobile app (iOS, Android, Windows and Mac) mirrors the web app, plus works fully offline. If you lose signal — a basement ward, a dead zone, a shift changeover — every edit is queued locally on your device and synced automatically the moment connectivity returns.
If two devices edited the same shift while both were offline, Nurse Tasker resolves the conflict automatically using each change's own timestamp, rather than silently discarding one side.
Biometric login (Face ID / fingerprint) can be enabled from Settings once you've logged in with your password at least once on that device.
Security & Data
Every organisation's data is isolated using row-level security enforced by the database itself, not only by the application code. Passwords are hashed, never stored in plain text, and multi-factor authentication (TOTP) is available on every account and can be required organisation-wide.
